HOA Meeting 12/11/2018

Attending: 7 present, 7 proxies

Since this meeting was a rescheduling of an earlier attempt at meeting our quorum requirements, the board decided that the reduced quorum rules applied (25% of homeowners), so the quorum was met.

Treasurer report

  • There is approximately $15,400 in the HOA account
  • A motion was made and approved to increase HOA fees from $145 to $150 for the 2019 calendar year in order to keep up with expenses and ensure we maintain an adquate reserve.

Grounds report

  • No follow-up has been received from the town of Christiansburg on the retention pond repairs.
  • No changes in weed treatment or mowing of the common areas.
  • A quote from Bartlett Tree Service was presented for the installation of root barriers to protect the trail from future growth of 9 Red Maples. Due to the costs and specialization of this operation additional quotes will be obtained.
  • A plandscaping plan to improve the entrance sign area was presented and approved. Valley Landscaping will perform the work at a cost of about $1,100.
  • Several community members will plan to work with Eric during late winter or early spring to clean up the Mulberry and Black Cherry trees along south side of trail.
  • A Willow tree near the retention pond had to be taken down. Eric will be getting quote to have the stump cleaned up.

Architecture report

  • No issues to report.
  • Reiteration that by taking residence in the community we are all in effect agreeing to abide by expectation of maintenance and regular upkeep.

Communications report

  • Moved to a new website during 2018 and will be working on improving the listserv capabilities during 2019.

Election of Directors

  • Finance: Maureen Frye
  • Architecture Control: Tim Walker
  • Communications: Michael Schulte
  • Grounds: Eric Wiseman
  • President: Eric Wiseman (interim). Nominations are being accepted for office of President.

Current directors in position of Finance, Architecture Control, and Communications were nominated and re-elected for the 2019 term.

Other Business

  • Some frustration has been expressed with residents finding dog waste and trash along the trail and in their yards. The HOA plans to place some temporary signs as a reminder and to send a letter to residents reviewing our principals of community as related to the complaint.
