HOA Meeting 9/24/2017

Attending: 12 present, 9 proxies

Since this meeting was a rescheduling of an earlier attempt at meeting our quorum requirements, the board decided that the reduced quorum rules applied (25% of homeowners), so the quorum was met.

Treasurer report

  • There is approximately $13,000 in the HOA account

Grounds report

  • Retention Pond issue: Riser repairs did not pass inspection by the town. We are currently waiting for a specification from the town so we can contract for additional repair work. Valley Landscaping performed the previous work; this time we need to hire a real concrete contractor.
  • Grass Treatment: Valley Landscaping is contractor for treatment of common areas, twice a year (spring and fall.)
  • Trail needs re-sealing; need to obtain a quote.
  • Some trees are starting to cause damage to the trail. We’re looking at installing a root barrier. Bartlett Tree Service will provide a quote.
  • Ornamentals planted in 2008 are looking shabby; Eric is looking to thin them out.
  • Mulberry and black cherry trees along south side of trail also need thinning.

New Directors

  • Architecture Control: Tim Walker
  • Grounds: Andrew Manzella (Eric will continue to be involved as well)
  • Communications: Michael Schulte
  • Finance: Maureen Frye
  • President: Eric Wiseman will continue as President.

Other Business

HOA email list issues: several people have stated that they are not receiving emails from either the general discussion list or the announcements list. Doug asked everyone who is having this issue to send their preferred email address to webmaster@staffordsfarm.com so he can check the membership lists for each list. b. Halloween: Tim Walker suggested blocking off Katie Ln and Alexander Ct from drivers on Halloween evening. This requires town approval, and it is too late to obtain approval for this year. The board will look into doing so for next year.
